Free Make.com template · Google Sheets row → Gmail

Send an invoice email from a Google Sheets row, once

Keep your invoices in a Google Sheet? Type Send in the Status column and Make emails that invoice to your client from your own Gmail: number, amount, due date, payment details and an optional payment link. The row is then marked Unpaid with the time sent, so it is never emailed twice. Status Test sends it to you instead.

Tested in Make on 16 Oct 2026 with fictional data (test email, client email sent once, no repeat, failed-send recovery).

How setup works

You need your own Make, Google Sheets and Gmail accounts. The download contains no connections, IDs or tokens.

What it does

One small Make scenario with 3 modules. It runs in your own Make account with your own Google connection. Nothing runs through Flowpaja.

1 · Read

Reads your invoice sheet

On your schedule (hourly or a few times a day) it reads the Invoices tab, columns A–H.

2 · Pick

Only Status = Send or Test

Send needs a client email in column C. Draft, Unpaid, Paid and empty rows are ignored.

3 · Mark

Marks the row first

Status becomes Unpaid (or Test done) and column O gets the time, before the email goes out.

4 · Email

Sends from your Gmail

If Gmail fails, Status goes back to Send and column O says “NOT sent”, so it retries on the next run.

What’s in the download

One zip (v1.0, 16 Oct 2026). All sample data is fictional.

  • Flowpaja_Sheets_Row_to_Gmail_Invoice_Email_FREE_blueprint.jsonThe Make scenario. No connections, IDs or tokens inside.
  • Invoice_Email_EXAMPLE_sheet.xlsxInvoices tab with 4 sample rows (Test, Draft, Unpaid, Paid) and a How to use tab.
  • SETUP_GUIDE.pdfSetup, the test plan and fixes for common problems.
  • Invoice_Email_Invoices_tab.csvThe same rows as CSV, plus a README.txt.

Setup in about 10 minutes

You need a Make.com account (the Free plan works) and a Google account with Sheets and Gmail. No Make account yet? Create a free Make account (affiliate link).

Copy the sheet

Google Sheets › Blank spreadsheet › File › Import › upload the example .xlsx › Replace spreadsheet.

Import the blueprint

In Make: Create a new scenario › ⋯ menu › Import Blueprint. Pick your sheet in module 1, the same connection in module 2, and connect Gmail in module 3.

Make the email yours

In module 3 replace [email protected], YOUR PAYMENT DETAILS, YOUR NAME and YOUR BUSINESS. Run once: one “[TEST]” email to you, INV-2001 becomes Test done.

Schedule and go live

Hourly or Daily with a few run times, not every 15 minutes. Switch it on, delete the sample rows and type Send when an invoice is ready.

Limits

A free, deliberately simple template.

  • One email per invoice. It sends the invoice once. It does not follow up when the client doesn’t pay (that is what the paid template below does).
  • No PDF attachment. Put a link to your invoice or payment page in column G instead.
  • Make credits (tested 16 Oct 2026). 1 credit per run with nothing to send, 3 per email sent (4 if Gmail fails); hourly checks are about 720 a month. Every 15 minutes would be about 2,880 a month for the checks alone, more than the Free plan’s 1,000. See the schedule planner.
  • Clean data needed. Due dates must be real dates and amounts plain numbers.
  • Gmail re-authorization. Personal Gmail connections in Make need re-authorizing about every six months.

Next step: get paid without chasing

Every invoice this template sends is left as Unpaid in the same columns A–H that the Polite Invoice Reminder ($19) reads. Add it and unpaid invoices get a friendly, then firm, then final reminder from your own Gmail after the due date. Test mode is on by default, with stop controls (Paid, Paused, Disputed, Partial), a sending history per invoice and a log tab. Columns I–N in the example sheet are already reserved for it.

FAQ

Will it email the same invoice twice?
No. The row is marked (Status → Unpaid, time in column O) before the email is sent, and only rows with Status = Send are picked up. If Gmail fails, Status is put back to Send so it retries on the next run.
Can I try it without emailing a client?
Yes. Set Status = Test. The email goes to your own address (set in the Gmail module) and Status becomes "Test done".
Does it attach the invoice PDF?
No. It sends the invoice number, amount, due date, your payment details and an optional payment link from column G. Put a link to your invoice there if you need one.
How many Make credits does it use?
Measured in our Make test on 16 Oct 2026: 1 credit per run when there is nothing to send, 3 credits per email sent (4 if Gmail fails and the error route runs). On an hourly schedule the empty checks are about 720 credits a month.
Has it been tested?
Yes. We ran it in Make on 16 Oct 2026 with fictional data: the test email, the client email (sent once, then Status = Unpaid), a second run that sent nothing, and a failed Gmail send that put Status back to Send. Still start with Status = Test.
